Resort booking, package pricing and guest communication automation

Hafiz Abdullah Aamir developed resort automation projects connecting rules-based package quotes, advance and calendar booking, reviewed pre-arrival information, cancellation and reschedule handling, returning-guest communication and photo collection. The collection follows the visit from its commercial requirements through practical preparation and later guest follow-up, with people retaining financial and travel judgements.

01 / THE CHALLENGE

Where the work gets stuck.

Resort enquiries involve choices that change the package: when guests want to arrive, how many people are travelling and which activities or additions they want included. The conversation continues after the quote because guests also need directions and information before departure. The project addressed this combination of commercial and practical communication. It connected collecting the booking requirements with preparing the package and briefing the guest, instead of treating quoting and pre-arrival questions as unrelated work.

02 / THE SOLUTION

A system built around the work.

The assistant gathered the details required for a package quotation and passed them through rules-based pricing. The pricing logic handled the calculation, while the conversational layer helped collect the requirements and explain the next step. The workflow then connected the quote with the advance-payment and booking process. Pre-arrival communication brought together practical information, including weather and route context. Road information remained subject to owner confirmation rather than being invented by a language model. The result was an implemented sequence spanning enquiry, package preparation and guest briefing, with distinct roles for calculation, conversation and operational judgement.

03 / THE WORKFLOW

How the pieces connect.

  1. Capture the package requirements

The enquiry assistant gathered dates, party size, package choices and relevant additions, giving the quotation step the information needed to distinguish one booking request from another.

  2. Calculate the quotation

Maintained pricing rules handled the package calculation. This separated the financial computation from the conversational task of collecting details and explaining the proposed package to the guest.

  3. Connect the advance and booking

The quoted package moved into the advance-payment and booking sequence, linking the customer's selection with the steps required to progress towards a planned resort visit.

  4. Prepare the pre-arrival briefing

The workflow used the upcoming visit as the context for practical guest information, bringing the briefing into the same journey as the original enquiry and package quotation.

  5. Include confirmed route context

Weather and route information supported pre-arrival communication, with owner confirmation retained for road conditions rather than allowing generated text to make unsupported claims about the journey.

04 / DELIVERED SCOPE

What the project delivered.

The delivered capability joined package quotation with the communication needed before a resort visit. Booking details collected during the enquiry became inputs to pricing and later briefing. The project supported a repeatable quotation process and gave pre-arrival information a defined place in the guest journey, with human confirmation retained for route information that needed operational judgement.

/ THE COMPLETE SCOPE

The systems behind the workflow.

Each module handles a different part of the work. Together, they connect the operational handoffs around this project.

MODULE 01

Package quote, advance and calendar booking

The booking module collected dates, party size and package choices, applied maintained pricing rules and carried the quote towards an advance and calendar booking. It connected the combinations customers asked about with a structured commercial process.

How it works

A conversational entry point feeds pricing-sheet rules, payment-detail handling and calendar blocking.

Operational consideration

The owner needs to test package combinations and keep prices current. The language model handles the conversation; it is not the authority for package arithmetic.

MODULE 02

Pre-arrival weather and route briefing

The briefing module supplied practical visit information using the upcoming booking as its context. Weather information and route guidance had distinct roles, with confirmation retained for road conditions before a message was sent to guests.

How it works

Weather data and communication templates combine with sourced route information and owner review.

Operational consideration

A weather feed cannot certify road access. Reliable route information and operational confirmation matter, especially when a guest may act on the briefing to make travel decisions.

MODULE 03

Cancellation and reschedule handling

Changed plans moved through a rules-and-approval workflow rather than becoming a disconnected conversation. The module connected a reschedule or cancellation request with the existing booking and the operator’s decision process.

How it works

Booking context and cancellation rules prepare the next step for human approval.

Operational consideration

Refund disputes require judgement. A reminder or drafted explanation should not be presented as an automatic final decision about money or the guest’s entitlement.

MODULE 04

Off-season communication to previous guests

The retention module grouped past guests for relevant package communication outside peak periods. It connected the existing guest relationship with later offers instead of treating every booking as an isolated transaction.

How it works

Guest segmentation supports targeted communication about appropriate off-season packages.

Operational consideration

Audience relevance and message cost need review. Returning-guest communication should stay connected to the packages and dates the business can actually offer.

MODULE 05

Guest photo collection and caption preparation

The content module collected guest photos through a form and supported caption drafting. It gave the resort a workflow for preparing material connected to actual visits rather than treating content creation as an unrelated administrative task.

How it works

A collection form and caption-generation step support preparation of guest-provided material.

Operational consideration

Permission to collect a photo does not automatically establish permission for every use. Consent for publication and editorial review belong in the guest-content workflow.

/ IMPLEMENTATION NOTES

What makes the system useful.

One visit creates pricing, booking and communication work

Resort bookings combine dates, guest numbers, room or day-package choices, meals, activities and additions such as transport. Guests then need practical information before travelling, and sometimes need to change the booking. The owner, booking colleague and activity staff handle different parts of that journey. The resort projects connected package quotation with calendar booking and pre-arrival communication, then extended into cancellations, returning-guest offers and consent-based guest content. This reflects the work around the visit rather than a standalone price-answering assistant.

Rules calculate the package; reviewed information prepares the guest

The design separated conversational collection from rules-based pricing. Dates, party size, package and add-ons supplied the calculation, while the assistant gathered requirements and explained the next step. Calendar blocking connected the commercial proposal with the resource being booked. Weather and route information formed another boundary: a weather forecast does not establish that a road is open. Official route information where available and owner confirmation supported the briefing, instead of asking generated text to make a safety-critical assertion.

Evaluate quote handling, changes and guest communication

Quote preparation time and enquiry-to-booking rate are useful commercial measures; cancellations and off-season bookings describe different parts of the guest relationship. These are evaluation measures, not numerical outcomes reported for this work. Review the price rules, calendar updates and cancellation decisions as well as message speed. Remote staff connectivity can also affect how the process is used. The system supports communication and preparation, while the operator remains responsible for refund decisions, travel judgement and the practical delivery of the visit.

/ QUESTIONS, ANSWERED

Applying this case to your team.

Should an AI model calculate resort package prices?

The project separates conversation from calculation. Maintained rules calculate the package from dates, guest numbers, selected services and extras; the assistant collects and explains those inputs.

Can the booking workflow support rescheduling?

Yes. The wider project includes rules and approval for cancellations and reschedules. The operator remains responsible for disputed refunds and exceptions.

Can a weather feed provide the full pre-arrival briefing?

It can provide weather context, but road status needs a reliable source and owner confirmation. Forecast data and a claim that a route is open are different kinds of information.

How do returning guests fit into the system?

Guest segmentation supports relevant off-season package communication. This connects later offers with the guest relationship established around the original visit.

Can the resort prepare content from guest photos?

The project includes photo collection and caption preparation. Consent for use and review of the resulting material remain necessary parts of that workflow.
