An internal tool can give requests, approvals, assignments, and operational records a shared structure. Instead of asking which spreadsheet is current, the team gets a defined place to view the record, take an action, and understand what changed.

Acceptance should cover realistic tasks: submit a request, approve it with the right permission, find its history, and export the agreed data. Migration is reviewed separately so a polished interface does not hide incomplete records.
Handover covers the agreed source code, deployment setup, operating instructions, and data export path. Hosting, backups, updates, and support need named owners and a defined scope.
Describe the tool you needNo. Spreadsheets can remain useful for analysis and flexible one-person work. A tool becomes more valuable when shared editing, permissions, approvals, or record history are central to the process.
Migration starts with a sample and an agreed mapping. Duplicates, missing values, formulas, and attachments need explicit handling. The scope should include validation and a transition plan before the current process is retired.
The required export formats and access rights should be defined during scoping. Portability belongs in the acceptance criteria and handover, alongside ownership and maintenance responsibilities.
